Vehlytics ("we," "us," or "our") operates the Vehlytics fleet operations intelligence platform and the website at vehlytics.com. This Privacy Policy describes how we collect, use, and protect information when you use our services.
When you sign up for Vehlytics or request a demo, we may collect your name, email address, organization name, and job title. This information is used to set up your account, communicate with you about the service, and provide support.
Vehlytics processes fleet data that you enter into the platform, including vehicle identifiers, status records, maintenance information, out-of-service records, and related operational data. This data is stored in Google Sheets within your own Google Workspace account — you own and control this data at all times.
We may collect basic usage information such as feature usage patterns, error logs, and deployment heartbeat data to monitor service health and improve the platform. This data does not include your fleet records or personally identifiable information about your drivers or employees.
Vehlytics operates as a Google Workspace add-on and requires access to certain Google services to function. When you authorize Vehlytics, you grant access to the following scopes:
Google Sheets — to read and write fleet data in your spreadsheet. Google Drive — to manage the spreadsheet file and verify permissions. Gmail — to send email notifications, OOS alerts, and reports from your account. Google Calendar — to sync scheduled maintenance events (Enterprise tier). Apps Script — to deploy and manage the web application.
Vehlytics accesses only the data necessary to provide the service. We do not access, read, or store data from other files in your Google Drive, other emails in your Gmail, or other events on your Google Calendar beyond those created by Vehlytics.
We use the information we collect to provide, maintain, and improve the Vehlytics platform; send service-related communications including OOS alerts, daily and weekly reports, and system notifications; monitor platform health and troubleshoot issues; respond to support requests; and comply with legal obligations.
We do not sell, rent, or share your personal information or fleet data with third parties for marketing purposes.
Your fleet data resides in a Google Sheets spreadsheet within your own Google Workspace account. Vehlytics does not maintain a separate copy of your fleet data on our own servers. You retain full ownership of your data at all times and can export, modify, or delete it directly through Google Sheets.
Account and configuration information (such as license keys and deployment records) is maintained by Vehlytics for service administration purposes.
Vehlytics leverages Google Workspace's security infrastructure, including encryption in transit and at rest, for all fleet data stored in your Google Sheets. Access to your data within the Vehlytics application is controlled by the user authorization settings you configure during setup, including role-based access control with four permission levels.
We implement reasonable administrative and technical safeguards to protect the information we process. However, no method of electronic transmission or storage is completely secure, and we cannot guarantee absolute security.
Vehlytics may integrate with third-party services at your direction, including Samsara (telematics data), IBM Maximo, Fleetio, and MaintainX (CMMS work order sync), and Google Calendar. When you enable these integrations, data may be exchanged between Vehlytics and the third-party service according to the integration's configuration. Each third-party service is governed by its own privacy policy and terms of service.
Vehlytics uses Google Cloud Platform infrastructure for OAuth authentication and API management. Google's privacy practices are described in Google's Privacy Policy.
Your fleet data remains in your Google Sheets spreadsheet for as long as you choose to retain it. You can delete or archive records at any time. If you cancel your Vehlytics subscription, your data remains in your Google Sheets — it is your spreadsheet and you retain full access to it.
Vehlytics may retain account and licensing information for a reasonable period after cancellation for administrative and legal purposes.
You may access, correct, or delete your personal information at any time by contacting us. Because your fleet data lives in your own Google Workspace account, you have direct control over it without needing to contact us. You may revoke Vehlytics' access to your Google Workspace data at any time through your Google Account permissions settings.
Vehlytics is a business-to-business service designed for fleet management professionals. We do not knowingly collect information from children under 13. If we become aware that we have collected information from a child under 13, we will take steps to delete it promptly.
We may update this Privacy Policy from time to time. If we make material changes, we will notify you by updating the effective date at the top of this page and, where appropriate, providing notice through the platform or via email. Your continued use of Vehlytics after changes are posted constitutes acceptance of the updated policy.
